TAMIS Trustees: Roles & Responsibilities April 2023
(* These would come into force if we decide to become a CIO and therefore a charity)
Chairman:
- Overseeing TAMIS responsibilities to the Charity Commission, including submission of the annual Charity Return*
- Checking that TAMIS fulfils its remit as laid out in the Constitution
- Arranging for potential new members to be seen to talk with them about how TAMIS works
- Chairing an AGM and Trustees’ meetings as and when needed (at least 3 per year)
- Liaise with Shed Manager monthly and follow up on any issues raised
- Draw up a regular newsletter.
Secretary:
- Be the contact person for correspondence with the Charity Commission *
- Keep an updated list of members with contact details (according to GDPR)
- Record and publish minutes of meetings: agenda and action points
- Prepare AGM agenda and inform members 2 weeks ahead
Treasurer:
- Prepare accounts (using UKMSA system) to submit as part of the Charity return each October*
- Manage the funds & update Trustees regularly
- Give permission for spending per item over £50
- Give financial report annually at AGM
- Arrange and renew appropriate insurance cover
Advisor & Public Relations:
- Offer advice and support to Trustees as requested
- Promote TAMIS to other agencies
Shed Manager:
- Take responsibility for safety and running the shed, working with Health & Safety Officer
- Lead the management group for planning and development
- Liaise with Chairman monthly over the work of the shed and any problems
Health & Safety:
- Develop , disseminate and check that essential H& S requirements are being followed
- Ensure first aid box is fully stocked
- Ensure a first aider is always on the premises
- Alert Shed Manager of any issues
